Definition

The 2-4 unifying messages the deal team agrees to reinforce across every proposal section, demo and stakeholder conversation — chosen to map the vendor's strengths onto the buyer's stated decision criteria.

Two or three, or none at all

A theme works by repetition: the evaluator should encounter the same small set of ideas in the executive summary, the requirement responses, the demo and the reference call, until it shapes how they describe you internally. Eight themes are not eight times as effective — they are indistinguishable from having none, because nothing accumulates.

They have to start from the buyer's criteria

Themes derived from what you are proud of tend to be about capability. Themes derived from the buyer's stated decision criteria are about their risk, and land differently. The raw material is already in the RFP: the weighting, the mandatory items, the language the requirements are written in.

A theme has to survive the scoring sheet

If an evaluator cannot point to where a theme helped them score a requirement, it was a slogan. Themes need to attach to specific answers, not just the cover letter.
