RFP Response

Definition

The formal document the vendor returns to the buyer in answer to an RFP — typically hundreds of pages, structured to the buyer's template, combining technical answers, commercial terms, references and supporting materials.

It is read by a scorer, not a reader

Someone is working through a rubric with limited time, looking for whether each requirement is met. Answers that begin with context and arrive at compliance three sentences later lose marks that the content deserved. Lead with the answer, then justify it — the opposite of how most technical people naturally write.

Gaps handled well cost less than gaps hidden

Every serious response has requirements you do not fully meet. Stating a partial clearly, with what you do offer and a roadmap position if one exists, reads as competence. Stretching a partial into a claimed full match reads as a full match until technical validation, at which point it reads as something much worse.

Answer the question that was asked

Reusing an adjacent answer from the library because it is close is the most common source of low scores. The scorer is matching against their wording, not yours.
